Privacy Policy

Effective date: Oct 26, 2026

Who we are

Burrows and Burrows Agency Inc DBA VFIS of Oklahoma and VFIS of Arkansas (“we,” “us,” or “our”) is an independent insurance agency serving clients in Oklahoma and Arkansas. This Privacy Policy explains what information we collect through our websites, vfisar.com, vfisok.com, and tbainsure.com (together, the “Site”), how we use it, and the choices you have.

Burrows and Burrows Agency Inc. provides insurance brokerage, consulting, and policy service to fire departments, EMS agencies, and other emergency service organizations, as well as businesses and individuals. This policy applies to personal information about:

  • Clients and prospective clients, and the people who act on their behalf
  • People covered under or named in a client’s policy, such as department members, employees, volunteers, and drivers
  • Business contacts, such as carrier representatives and vendors
  • Visitors to our websites

We do not sell your personal information, and we do not share it with other companies for their own marketing.

This policy covers information we collect through the Site and in the course of serving our clients. If you become a client, you will also receive our customer privacy notice required by federal and state insurance privacy laws (see “If you become a client” below).

Information we collect

We collect information so we can answer your questions, find and place the right insurance, and service your policies and claims. What we collect depends on how you interact with us.

Through our website. When you use our contact form, we collect your name, phone number, email address, mailing address, employer, and anything you write in your message. Please do not put sensitive details, such as Social Security numbers, health information, or bank or card numbers, in the form. We will collect what we need securely once we are in touch.

Automatically when you visit the Site. Google Analytics and cookies may record your IP address, approximate location (city or region), browser, device and operating system, the pages you view, how long you stay, the links you click, and the website that referred you. This information does not identify you by name.

Like most websites, the servers that host our Site also keep standard log files. These record items such as your IP address, the page requested, the page you came from, the date and time, and your browser and operating system. We use these logs to keep the Site running and secure, not to identify individual visitors. If you visit from more than one device, such as a phone and a computer, similar information may be recorded for each one.

When you request a quote or become a client. To find coverage and service your policy, we may ask for:

  • Contact and identity details, such as name, address, phone, email, and date of birth
  • Information about your department, organization, or business, such as its legal name, operations, budget or revenue, members or employees, and locations
  • Employment or membership details for covered individuals, such as job title, role, and status
  • Driver information, such as driver’s license numbers and driving records
  • Details about the vehicles, apparatus, equipment, buildings, and other property to be insured, such as vehicle identification numbers and property records
  • Policy details, such as carriers, coverages, limits, terms, and dates
  • Prior insurance and claims or loss history, such as incident dates and claim status
  • Identification numbers an insurance company requires, such as a federal tax ID or Social Security number
  • Payment information used to collect premiums or issue refunds
  • Information needed to handle a claim, which can include injury or medical details related to that claim
  • Records of your communications with us, such as emails, letters, and notes from calls

From other sources. When needed to quote, place, or service coverage, and as the law allows, we may receive information from insurance companies, wholesale brokers, state motor vehicle departments, claims history databases, consumer reporting agencies, inspection services, and your organization or employer for group coverage. We may combine this with information you give us.

Information about other people. If you give us information about someone else, such as a department member, employee, or driver, please make sure you have the authority to share it with us for the purposes in this policy.

Summary and de-identified information. We may combine information into summaries or remove details so it can no longer reasonably identify anyone. We use this for purposes like understanding Site traffic and improving our services. We will not try to re-identify de-identified information, except as the law allows.

Cookies and Google Analytics

Google Analytics uses cookies, small text files stored by your browser, to measure Site traffic. Google processes this information under its own privacy policy, which you can read at policies.google.com/privacy.

You can limit this tracking in several ways:

  • Block or delete cookies in your browser settings.
  • Install Google’s Analytics opt-out browser add-on at tools.google.com/dlpage/gaoptout.
  • Use a browser or extension that blocks analytics tools.

The Site will still work if you block these cookies.

How we share information

We do not sell, rent, or trade your personal information, and we do not share it with unaffiliated companies for their own marketing.

We share information only as needed to serve you or as the law requires:

  • Insurance companies and related partners we work with to quote, place, and service your coverage and to handle claims, such as carriers, wholesale brokers, managing general agents, underwriters, and claims adjusters.
  • Premium finance companies, if you choose to finance your premium.
  • Your organization. For a department or business account, we may share account and policy information with the people currently authorized to act for that organization, so we can service the account.
  • Service providers that run parts of our business for us, such as our web host, form tool, email and phone providers, agency management system, IT and security support, and Google Analytics. We share only what they need, and we expect them to protect it and use it only to provide services to us.
  • Professional advisors, such as our attorneys, accountants, and auditors.
  • Regulators and legal requests. We may disclose information to state insurance departments and other regulators, courts, or law enforcement when required by law, or to protect our rights or the safety of others.
  • Business transfer. If our agency is merged or sold, or if we evaluate such a transaction, information may transfer to the other party, who must protect it consistent with this policy.
  • With your consent or at your direction.

We may share summary or de-identified information that cannot reasonably identify anyone for any lawful purpose.

If you become a client

As an insurance agency, we follow the federal Gramm-Leach-Bliley Act and the insurance privacy rules of Oklahoma and Arkansas for information about our clients. If you buy or apply for insurance through us, you will receive our customer privacy notice, which explains how we handle that information and any choices you have. You can also request a copy at any time using the contact details below.

Security and retention

We use reasonable administrative, technical, and physical safeguards to protect your information. These include encrypted (HTTPS) connections on our Site, limiting access to staff who need the information to do their jobs, and requiring our service providers to protect it. No website or system is completely secure, so we cannot guarantee absolute security.

You can help by keeping any passwords you use with us private and by not sending sensitive information, such as Social Security or account numbers, by regular email. Ask us for a secure way to send it. If you believe information you shared with us has been lost or accessed without permission, please contact us right away.

We keep information only as long as we need it for the purposes in this policy. For clients, that includes the life of your policies and any period that insurance recordkeeping laws require. Contact form inquiries that do not lead to a client relationship are kept only as long as needed to respond and keep reasonable business records. When we no longer need information, we securely delete or destroy it.

How long we keep a record depends on:

  • How long you are our client and we provide services to you
  • Whether a law, regulation, or contract requires us to keep it for a set time
  • Whether a claim, dispute, or legal matter is open
  • How sensitive the information is

Your choices

You may contact us at any time to:

  • Ask what personal information we have about you
  • Correct information that is wrong
  • Ask us to delete your information
  • Ask us to stop contacting you

We will respond within 45 days. We may need to confirm your identity before acting on a request, and we may keep information we are legally required to retain.

We do not sell personal information or use it for targeted advertising, so there is nothing to opt out of in those areas.

Children’s privacy

Our Site is meant for adults and is not directed to children or teens under 18. We do not knowingly collect personal information from anyone under 18. If you believe a minor has sent us information, contact us and we will delete it.

Changes to this policy

We may update this policy to reflect changes in our practices, the law, or our business. When we do, we will post the new version on this page and change the effective date at the top. If you keep using the Site after an update is posted, the updated policy applies.

Email and other communications

If we send you newsletters or other optional emails, you can stop them at any time by using the unsubscribe link or contacting us. We will still send messages needed to service your policies, such as billing, renewal, and coverage notices.

Links to other websites

Our Site may link to websites run by others, such as insurance companies or industry groups. Those sites have their own privacy practices, and we are not responsible for their content or how they handle information. Please review their policies before sharing information with them.

How to read this policy

When this policy uses the word “including” or gives examples, the list is not complete. This policy does not create rights or obligations beyond those required by applicable law. If any part of it conflicts with a privacy law that applies to you, we will follow the law.
